This Privacy Policy explains how Tsubasa Technologies G.K. (“TextPort,” “we,” “us,” or “our”) handles information when you use the TextPort website, iPhone and iPad apps, companion desktop applications, and related services (collectively, the “Services”).

By using the Services, you acknowledge the practices described in this Privacy Policy.

1. Scope

This Privacy Policy applies to information handled through:

  • the TextPort website;
  • the TextPort mobile app for iPhone and iPad;
  • the TextPort desktop app for Mac and Windows; and
  • related customer support and service communications.

This Privacy Policy does not apply to third-party apps, websites, operating systems, payment systems, messaging platforms, or cloud services that you may use together with TextPort, including Apple, iMessage, WhatsApp, Signal, Telegram, Meta, Google, Microsoft, or other third parties. Those third parties have their own privacy policies and practices.

3. Information We Collect

The information we handle depends on which TextPort features you use.

A. Information You Provide

We may handle information you choose to provide directly to us, such as:

  • files and content you choose to use with TextPort;
  • support requests, emails, and attachments you send us;
  • feedback, bug reports, survey responses, or feature requests; and
  • any other information you choose to submit through the Services.

B. App, Device, and Usage Information

We may collect limited technical and usage information, such as:

  • limited device identifiers;
  • app version, operating system, device type, and language settings;
  • subscription or entitlement status;
  • app usage events and feature interaction data;
  • crash logs, diagnostics, and performance data; and
  • basic operational metadata needed to provide the Services.

C. Website Information

When you visit our website, we and our infrastructure providers may automatically collect certain technical information, such as:

  • IP address;
  • browser type and device information;
  • pages viewed and referring pages;
  • timestamps and request logs; and
  • analytics data used to understand website traffic and performance.

4. How TextPort Works With Your Content

TextPort includes different features, and different features handle content in different ways.

A. Features That Process Content On Your Device

Some TextPort features process content entirely on your device. For those features, the relevant content is not uploaded to our servers for processing.

B. Features That Use Cloud Processing

Some TextPort features use secure cloud processing to provide functionality such as transcription, storage, syncing, and export generation.

C. Desktop Exports Stay Local

TextPort’s desktop export functionality processes data locally on your desktop device. Desktop exports are not uploaded to our servers as part of that export process.

Depending on the feature you use, the content you choose to process with TextPort may include message conversations, screenshots, recordings, exports, and related files.

5. How We Use Information

We use information to provide TextPort, support users, improve the service, maintain security, and comply with legal obligations.

6. Service Providers and Infrastructure

We work with a limited number of trusted service providers to help operate TextPort, such as providers for analytics, crash reporting, cloud infrastructure, storage, and processing services.

Our current providers may include:

  • Plausible Analytics for analytics;
  • AppSignal for crash reporting, monitoring, and diagnostics;
  • Google Cloud for cloud services and related infrastructure;
  • certain processing service providers used by some features;
  • Cloudflare for storage, delivery, and related infrastructure services;
  • Hetzner for hosting and server infrastructure; and
  • Apple for App Store billing, subscriptions, payments, and entitlements.

These providers may process information on our behalf as needed to provide the relevant functionality.

7. Payments and Subscriptions

If you purchase a subscription or paid feature through Apple’s App Store, Apple processes the payment transaction. We do not receive your full payment card number.

We may receive limited subscription-related information from Apple, such as plan type, entitlement status, country, renewal status, and transaction identifiers, as needed to provide paid features and support.

8. How We Disclose Information

We may disclose information in the following circumstances:

A. To Service Providers

We may share information with service providers and vendors who help us operate the Services, including providers of hosting, storage, analytics, crash reporting, infrastructure, and support tools.

B. For Legal Compliance and Protection

We may disclose information if we believe in good faith that doing so is necessary to:

  • comply with applicable law, legal process, regulation, or governmental request;
  • enforce our Terms, policies, or agreements;
  • maintain the safety, security, and integrity of the Services, including preventing misuse and abuse; or
  • protect the rights, property, safety, or security of TextPort, our users, or others.

C. Business Transfers

We may disclose information in connection with a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or other corporate transaction.

D. With Your Direction

We may disclose information when you ask us to do so or direct the Services to share it.

9. Data Retention

We retain information for as long as reasonably necessary to provide the Services, maintain functionality, comply with legal obligations, resolve disputes, and enforce agreements.

For user content stored through the Services, our general approach is:

  • User-stored content: retained until you delete it;
  • Generated exports stored in the Services: retained until you delete them;
  • Support communications: retained as reasonably necessary to respond to and manage support matters; and
  • Crash, diagnostic, and analytics data: retained according to our operational needs and provider retention settings.

When you delete content from the Services, we delete it from our active systems. In some cases, limited copies may remain for a short time in backups or technical systems before being fully removed.

10. International Transfers

TextPort is operated by a company based in Japan, and we may use service providers and infrastructure located in Japan, the United States, the European Union, and other jurisdictions.

As a result, your information may be processed in countries other than your own, where different privacy laws may apply.

11. Legal Bases for Processing

Where required by applicable law, we process personal information on the basis of contract performance, legitimate interests, consent, and legal obligations.

12. Your Privacy Rights and Choices

Depending on where you live, you may have rights regarding your personal information, including the right to:

  • request access to personal information we hold about you;
  • request correction of inaccurate information;
  • request deletion of personal information;
  • request a copy of certain information in portable form;
  • object to or restrict certain processing; and
  • withdraw consent where processing is based on consent.

You may also have choices regarding:

  • what content you submit to TextPort;
  • whether to store content in the Services;
  • deleting stored data from within the Services; and
  • managing app permissions and subscriptions through your device and Apple account settings.

13. California and U.S. State Privacy Disclosures

If you are a resident of California or another U.S. state with applicable privacy laws, you may have additional rights regarding access, deletion, correction, and other uses of your personal information.

TextPort does not sell personal information.

We do not use personal information for cross-context behavioral advertising.

14. Children’s Privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

If you believe a child has provided personal information to us, please contact us at support@textportapp.com and we will take appropriate steps to investigate and, where appropriate, delete the information.

If a higher age threshold applies in your jurisdiction, we will comply with applicable law.

15. Security

We use reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.

While we use reasonable safeguards, no system can be completely secure.

16. Third-Party Services and Links

The Services may contain links to third-party websites, apps, or services, or may interoperate with them. We are not responsible for the privacy, security, or data practices of third parties. Please review their privacy policies before providing information to them.

17. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we may provide notice through the Services, on our website, or by other appropriate means.
